Configure NIC eMail in Outlook for Windows - IMAP

Steps to Configure NIC eMail account as IMAP in Outlook for Windows

Note

IMAP/POP feature is not available for your account. To enable it, please reach out to your Delegated/Department Administrator.

  1. Log in to your https://mail.gov.in/ account to enable IMAP access. (Login to https://mail.gov.in/ >> Settings >> Mail Accounts >> IMAP >> Enable IMAP Access by clicking the checkbox) . 
  2. Launch the Microsoft Outlook application in your Windows system.
  3. Enter your NIC eMail address.
  4. Select Advanced Setup.
  5. Select IMAP.
  6. Enter your NIC eMail password (Use Application-specific Password if Two-Factor Authentication is enabled for your account).
  7. Toggle Show more.
  8. Verify the auto-filled incoming server details.
    Incoming Server Information:  
    IMAP Username : Your NIC eMail address.
    IMAP Password: Your NIC eMail password (Use Application-specific Password if Two-Factor Authentication is enabled for your account).
    IMAP Incoming Server: imap.mgovcloud.in
    Port:993
    Secure Connection Type: SSL
  9. Scroll down.Verify the auto-filled outgoing server details.
    Outgoing Server Information:  
    SMTP Username : Your NIC eMail address.
    SMTP password: Your NIC eMail password (Use Application-specific Password if Two-Factor Authentication is enabled for your account).
    SMTP Outgoing Server: smtp.mgovcloud.in
    Port:465
    Secure Connection Type: SSL
  10. Click Continue.
  11. Click Continue to sync your IMAP account.
  12. Click Next accepting the privacy statement.
  13. Click Accept to send diagnostic data.
  14. Now IMAP is successfully configured and you will be able to access your NIC eMail account on Outlook for Windows. 

Note

If you're using SAML Authentication for your organization, you need to generate an Application Specific Password to authenticate email clients to access NIC Mail using IMAP/POP.

​Specific Instructions for Outlook IMAP

Sent Items

By default, our SMTP Servers automatically place sent emails in the Sent folder. However, when you send an email with Outlook, it also saves another copy in your Sent folder there

To avoid duplicates in the Sent folder, change the following settings:

In NIC eMail: 

You can turn off the copy created by the server in the SMTP settings.

However, you can also change the settings in the email client you use. 

In Outlook 2007:

  • From the Tools menu, select Options and then Preferences
  • Choose Email Options and uncheck Save Copies of messages in Sent Items folder.

In Outlook 2010:

  • Select your NIC account from the Account Settings menu and click Change
  • Choose More Settings, click Sent Items and select, Do not save copies of sent items.

Downloading full messages

By default, Outlook downloads just the Sender, Subject, and the Date Information (headers) when syncing email. It downloads the full message only when you click on that email. You can change this behaviour by changing the Send/ Receive Settings.
