Work profile update

The Work Profile Update form is to be filled to update the Mailbox type, Parent and Present Office locations, Employee ID, and Designation.

  • The Profile Update form with a Skip option will be available for 15 days after it being enabled for your department/ ministry/ organisation.
  • After 15 days, filling out the form will be made mandatory, and you cannot access your mailbox without filling and submitting the form.

Work profile fields

The following information are non-editable:

  1. First Name/ Last Name
  2. Mobile Number

Choose the appropriate values from the drop-downs provided for:

  1. Relationship of email user/applicant with email-using Ministry/ Department/ Organisation
  2. Whether member of the All India Service or Central Service or Central Secretariat Services?
  3. Categories of Organisations
  4. Government Ministry/ Department/ Department-equivalent concerned
  5. Sub-categories of Organisations under Central/ State Government Organisation
  6. Identification number or Employee Code given by Parent organisation
  7. Designation
  8. State
  9. City/ Town
  10. Pincode

Please ensure to fill out the correct details before you submit. Once submitted, you'll not be able to make changes to the Work Profile Data. 

  1. To make any changes, a request shall be raised to the Delegated Administrators of your department.
  2. If you find any data to be missing in the form, reach out to the Delegated Administrator of your department for further assistance.
  3. You can find the Delegated Administrators of your department by clicking on the View Delegated Administrators option on top of the Profile Update page. Learn more.

Field values and steps to choose the correct value

Mailbox type

  1. Designation based Mailbox - such as hod@abc.in, admin@xyz.in.
  2. Name based Mailbox - such as name@abc.in, name@xyz.in.

Name

  1. Update the Salutation.
  2. To change the display name of your account, reach out to the Delegated Administrator of your department.

Mobile number

The mobile number associated with your account can be changed only by the Delegated Administrator of your department. Reach out to the DA to change the mobile number.

Relationship of email user / applicant with email-using Ministry / Department/ Organisation

Choose from any of the options given below:

  1. Employee on regular appointment
  2. Employee on tenure appointment
  3. Employee on short-term contract
  4. Employee on deputation
  5. Attachment from other organisation
  6. Directly-engaged individual consultant
  7. Employee or individual consultant of contracted party
  8. Outsourced human resource
  9. Other authorized individual

Parent office details

  1. If you are an Employee on regular appointment/ Employee on deputation/ Attachment from other organisation:
    1. Choose Whether member of All India Services (AIS) or Central Secretariat Services (CSS) or General Central Services (GCS)?
      1. If Yes, choose the appropriate service detail from the Service drop-down and proceed to point no. 7.
      2. If No, proceed to point no. 3.
  2. If your employment type doesn't belong to the above mentioned 3 types, proceed to point no. 3.
  3. Choose the Category of Organization from the options provided:
    1. Central Government Organisation
    2. State Government Organisation
    3. Legislative Body
    4. Court or other adjudicatory body
    5. Constitutional Body (other than the Government, Legislative Body and Court)
  4. Choose the Government Ministry / Department / Department-equivalent concerned from the drop-down.
  5. Choose the Sub-category of Organization from the options provided:
    1. Government Ministry/Department
    2. Attached/Subordinate Office of Government Department
    3. Statutory Body (other than PERI, PHI & PSE)
    4. Public Educational or Research Institution (PERI)
    5. Public Sector Enterprise (PSE, other than non-profit company)
    6. Other Government-controlled Entity (incl. autonomous body & non-profit PSE)
  6. Choose your department/ ministry/ organization from the List of Organizations drop-down.
  7. Provide the Employee Code / Identification number given by the parent organisation.
    1. Note that you cannot provide the same employee code for two email addresses except if it's a designation-based email address.
  8. Choose the date of retirement/ completion of tenure/ completion of attachment based on your employment type.

Retirement/Expiry Notification

An email notification will be sent to users whose retirement or account expiry dates fall within the next 30 days, at regular intervals. Additionally, a SMS notification will also be sent.

Present office details

  1. If you are an Employee on regular appointment/ Employee on deputation/ Attachment from other organisation:
    1. Choose the Category of Organization from the options provided:
      1. Central Government Organisation
      2. State Government Organisation
      3. Legislative Body
      4. Court or other adjudicatory body
      5. Constitutional Body (other than the Government, Legislative Body, and Court)
    2. Choose the Government Ministry / Department / Department-equivalent concerned from the drop-down.
    3. Choose the Sub-category of Organization from the options provided:
      1. Government Ministry/Department
      2. Attached/Subordinate Office of Government Department
      3. Statutory Body (other than PERI, PHI & PSE)
      4. Public Educational or Research Institution (PERI)
      5. Public Sector Enterprise (PSE, other than non-profit company)
      6. Other Government-controlled Entity (incl. autonomous body & non-profit PSE)
    4. Choose your department/ ministry/ organization from the List of Organizations drop-down.
  2. If your employment type doesn't belong to the above mentioned 3 types, you will be provided with an option to choose the Same as Parent Office check-box.
    1. Select the check-box to have the Parent Office details auto-filled in the Present Office fields.
    2. If the details of Parent and Present office details are different for you, follow the steps from point no. 2 to point no. 6 under the Parent Office Details section.
  3. Once filled, choose the respective Designation corresponding to your department/ ministry.
  4. Choose the Present Office Location from the drop-down.
  5. Choose the State, Town/ City and Pincode using the drop-downs given.

Save as draft

While filling out the profile data, if you wish to save the data midway and get back to submitting it at a later point, you can use the Save as draft option. Once saved, the next time you log in, you can start filling out from where you left.

Skip for now

The Skip for now option is available to users for 15 days from which the profile page is enabled for you. After 15 days, the Profile Page will be made mandatory, after which you cannot skip and must fill out the form to access your mailbox.

Submitting the form

Once you fill out the correct data, click the Submit button. A preview of the filled out data will be shown for you to verify the data. You can choose to have the data Saved as PDF on your desktop for you to refer to in the future.

  1. Once submitted, you'll not be able to edit the details on the profile page. If you want to make any changes, please reach out to the Delegated Administrator of your department.
  2. You can find the Delegated Administrators of your department by clicking on the View Delegated Administrators option on top of the Profile Update page. Learn more.
