Calendar Settings

The calendar in the NIC eMail suite can be customized in ways you want it to be by configuring your preferred settings. The Settings in Calendar allows you to modify the features available to suit your requirements. You can change your work hours, week, reminder notifications, time zone, etc., by navigating to the Settings page.

To access the calendar settings in NIC eMail, log in to NIC eMail. Navigate to Settings > Calendar. You can customize your calendar preferences, event settings, reminder, and notification settings; manage multiple calendars; import/ export calendars; and subscribe to calendars in the calendar settings.

​Calendar View

You can customize the way you view your Calendar using the distinct set of views provided by default in Zoho Calendar. The different views available in the Calendar are Day, Week, Work, Month, 2 Months, 3 Months, Year and Agenda.

  1. Day view - This represents the 24-hour grid for the selected day.
  2. Week view - This represents the 24-hour grid for the selected week.
  3. Work view - This represents the 24-hour grid for the selected work week.
  4. Month view - Displays the number of days in the month you have chosen.
  5. 2 Month view -  Displays all the days with the event count for the upcoming 2 months.
  6. 3 Month view - Displays all the days with the event count for the upcoming 3 months.
  7. Year view - Displays all the months with days in the current year of the calendar
  8. Agenda view - Shows all the events that are happening for the upcoming 3-month period.

Steps to Change the Calendar View

  1. Log in to https://mail.gov.in/
  2. Navigate to Calendar from the left menu
  3. On the top right corner of the calendar grid, you will have a drop-down that lists the calendar views - Day, Week, Work, Month, 2 Month, 3 Month, Year, Agenda and Calendar. Pick a preferred view.

​Calendar grid Customization

You can customize the view of your calendar grid display using the More Options (3 dots) icon on the right corner of your calendar grid. You can choose to view week numbers or change the layout while choosing the Day, Week and Work views. You can also choose to display light or bold colors for the events in the calendar grid while choosing the Day, Week and Work views.

Steps to Enable/ Disable Week Number in your Calendar Grid

  1. Log in to https://mail.gov.in/
  2. Click the More Options ( 3-dots) icon in the top-right corner of your calendar grid.
  3. Click on the checkbox - 'Show week number' to display the week number on the calendar grid.
     

Note:

Week Number cannot be seen when you choose the Year and Agenda views in calendar views.

Steps to Switch between Light and Bold Colors for Events in Calendar Grid

  1. Log in to https://mail.gov.in/
  2. Click the More Options ( 3-dots) icon in the top-right corner of your calendar grid.
  3. Select the check box - 'Use light event colors' to change the event colors light on the calendar grid.
  4. Unselect the check box - 'Use light event colors' to change the event colors bold on the calendar grid.

Note:

These changes will be visible only when you choose the Day, Week and Work views in the calendar views.

Steps to Change the Calendar Layout

  1. Log in to https://mail.gov.in/
  2. Click the More Options ( 3-dots) icon in the top-right corner of your calendar grid.
  3. Choose the preferred layout (Classic, Compact and Super Compact) using the Change layout options.

Note:

The Change layout option is available only when you choose the Day, Week and Work views in the calendar views.

Other Customization Options

When more events are being added to a particular date, the date grid in the Month, 2 Months and 3 Months views will display all the events for that particular day. You can choose to enable/ disable the display of all the events on a particular day in the date grid.

In the Year view, you can choose to fade out the non-working days.

When you choose the  Agenda view you can show/ hide the events that occur during your non-working hours.

Calendar Preferences

Calendar view settings allow you to choose your desired Time Zone, Date Format, Time Format and Default View for your calendar. You can also configure your Work Week and Work Time. Apart from the regular time zone, you can add a Secondary Time Zone to your calendar view and view your events for it. With Free/ Busy Consideration, you can choose if you should display your calendars in your free/busy schedule.

Time Zone

Every time you work out of a different location, you can check for the time zone and make the necessary changes in the calendar settings. Keeping your Time zone updated will ensure that you receive the event reminders without any issues.

Steps to Change your Time Zone

  1. Log in to https://mail.gov.in/
  2. Go to Settings  > Calendar > Timezone
  3. Click the Change Primary Time Zone icon.
  4. Choose the Time Zone from the list or Search Time zone by typing the location or GMT+/- the number of hours based on your location. Click Done.
  5. Turn ON the Notify to update the time zone based on the current location toggle switch to get notified when you're in a different location.
  6. When turned ON you will be asked to update your time zone based on your current location when you are in a different time zone. Click Yes to update the time zone, Never ask again to turn off this option, and Cancel to update later.
  7. You can turn OFF the toggle if you don't want to get notified.

Note:

  1. The current location will be based on the location in your desktop settings.
  2. Changing the time zone in the Calendar will change the time zone in all the applications.

Secondary Time Zone

You can add a Secondary time zone to your calendar view so that you can view the events on your calendar for the secondary time zone and the primary time zone as well. Once you configure your secondary time zone, both the primary and secondary time zones will appear on the time grid of your calendar.

Steps to Set Secondary Time Zone

  1. Log in to https://mail.gov.in/
  2. Go to Settings > Calendar > Timezone
  3. Turn On the Enable secondary time zone toggle switch.
  4. Choose the Secondary time zone from the list or Search time zone by entering the location or GMT+/- the number of hours based on the location required. You can also choose the default time zone to be the secondary time zone and change your primary time zone later.
  5. Click Done.
  6. You can change your Secondary Time Zone by clicking the Edit icon.
  7. Turn Off the Enable secondary time zone toggle switch to disable the secondary time zone.

The Secondary Time Zone can be viewed to the left of the default time zone in the time grid of your calendar.

Note:

The secondary time zone will be visible only when you choose the Day, Week and Work views in the Calendar view.

Time Format

In the Calendar, you can choose to have the standard 12 Hours or 24 Hours Time format.

Steps to Choose the Time Format

  1. Log in to https://mail.gov.in/
  2. Go to Settings  > Calendar > Calendar View > Time Format.
  3. Choose the preferred Time Format.

Default View

The default view represents the calendar view that is set every time you open Calendar. When you refresh the calendar, it will take you back to the default view. There are six views to choose from: Day, Week, Work, Month, Agenda and  Year views.

Steps to Choose the Default View

  1. Log in to https://mail.gov.in/
  2. Go to Settings  > Calendar > Calendar View > Default Calendar view.
  3. Choose the preferred Default View.

Week Starts On

The first day of the week differs in certain parts of the world. You can customize the calendar and set your first day of the week in the settings.

Steps to Set the First Day of the Week

  1. Log in to https://mail.gov.in/
  2. Go to Settings  > Calendar > Calendar View > Week starts on
  3. Select the day on which the week starts for your organization or region.

Work Week

Work weeks vary between different organizations, regions and fields of work. You can customize your calendar view to display the work week based on your preference. You can choose the start and end day of your work week in the calendar settings.

Steps to Set the Work Week

  1. Log in to https://mail.gov.in/
  2. Go to Settings > Calendar > Calendar View > Work week.
  3. Select the day on which the work week starts and ends for your organization, region or field of work.

Work Hours

Calendar gives you the option to set your Work Hours. This helps people to look at your calendar and schedule meetings depending on your working hours.

Steps to Set the Work Hours

  1. Log in to https://mail.gov.in/
  2. Go to Settings > Calendar > Calendar View > Work Hours.
  3. Select the From and To work timings concerning your organization, region or field of work.

Event Color

The event colors displayed in the calendar grid can be customized into Light and Bold colors based on your convenience.

Steps to Customize Event Color

  1. Log in to https://mail.gov.in/
  2. Go to Settings > Calendar > Calendar View > Event color
  3. Choose Bold or Light.
